Connect programs
Shop, ERP, accounting and email exchange data through interfaces. What has been entered once, nobody types in a second time.
Transferring data, filing receipts, sending confirmations: for everything that runs the same way every time, we define fixed rules and connect your existing programs. Retyping disappears. We only use AI where free text or documents need it. You decide how independently each process runs.
With customer, line items and date.
If a detail is missing, the process stops and reports it.
Rules first, then AI. Where a fixed rule is enough, it behaves the same way every time and is easy to check.
Shop, ERP, accounting and email exchange data through interfaces. What has been entered once, nobody types in a second time.
Incoming invoices, delivery notes and order confirmations are captured, matched to the right transaction and filed.
Order confirmations, appointment reminders and payment reminders go out by fixed rules, at the right time.
Where free text or varied documents need to be read, we use AI. For tasks with changing cases, we build AI agents that follow your rules.
Custom AI agentsYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Moments from everyday business, and what then runs on its own in your existing systems. These are examples, not client case studies.
BeforeThe mechanic is under the lift when the phone rings. Again. Someone wants to know whether their car is ready.
Then, automaticallyWhen the job in your workshop system is marked “ready”, the customer automatically gets a message with a collection time. A little more peace under the lift.
BeforeAn engineer stands in front of an old boiler, writes the model number on the back of their hand and calls the office. Someone there hunts down the right spare part.
Then, automaticallyThey photograph the rating plate. The number is read, the matching part is suggested and, once they click to approve, ordered from the wholesaler.
BeforeMonday morning, and voicemail is full of cancellations. Reception listens, rebooks and calls back while the next patient is already waiting at the desk.
Then, automaticallyPatients cancel or reschedule online themselves. The free slot automatically goes to the waiting list. Whoever accepts first gets it.
BeforeThe new glasses have been ready for ages, sitting in a drawer. The customer has no idea, while someone in the shop works through the collection list by phone.
Then, automaticallyWhen the glasses come back from the workshop, a collection message goes out automatically. Anyone who has not picked them up after a few days gets a friendly reminder.
BeforeYou only discover an item is out of stock when a customer stands in front of the empty shelf. Cue a rush order, with express delivery, of course.
Then, automaticallyWhen stock in your inventory system drops below the minimum, an order is placed with the supplier automatically. You approve larger amounts first.
BeforeAt month-end, the shoebox arrives: receipts, invoices, printed emails. First the sorting, then the searching, then the bookkeeping.
Then, automaticallyClients photograph receipts or forward invoice emails. Everything is organised and provisionally coded, ready for your team to check and post.
BeforeOn voicemail: “Water is dripping from our ceiling.” No address, half a phone number. The message gets heard on Monday.
Then, automaticallyTenants report damage using a form with a photo and flat details. Calls are transcribed and logged as cases. Words such as “water” send the case straight to the emergency service.
BeforeBookings arrive by phone, email and direct message. That evening, two couples turn up for the same table.
Then, automaticallyGuests book online, with every channel feeding into the same book. A reminder goes out the day before, and cancellations free up the table again.
In the customer portal after launch: see every step and approve the commission before we implement it.
In the customer portal after launch: You describe where things are retyped, copied or chased up today, and which programs you use.
We get back to you with a written description: what gets automated, by which rules, within which limits, at a fixed price per result.
You review the project description and approve it in the portal. We agree which actions your solution submits to a person for approval.
We build, test with real data and only then go live. The process runs in your accounts; regular checks are optional. You see project status in the portal.
You can engage us for automation in three ways. With fixed prices instead of open timesheets.
We show where automation pays off and where it does not, in a clear order. You implement yourself or with your IT provider.
We build the process, test with real data and hand everything over documented. Code and data belong to you.
We set everything up in your own accounts. They belong to you; we are only invited. If you like, we keep an eye on things for a monthly fee. It is not required.
you have programs that do not talk to each other, data is entered twice or receipts are filed by hand. And if the process itself is already right.
the process itself is cumbersome. Then we change the process first, otherwise only the detour gets faster.
More about better processesMostly not. Whatever runs the same way every time is handled more reliably by a fixed rule. We use AI where free text, emails or varied documents need to be read. For tasks with changing cases there are AI agents.
Custom AI agentsNo. We connect what works well through interfaces. If a program has none, we look for another way or tell you honestly when switching pays off.
With the one that fits your case. We are not tied to any particular tool: a workflow builder when it pays off, or our own code, run in the cloud or on a dedicated server in Germany.
Every process has limits. If a detail is missing or something does not match the rule, it stops and reports it instead of guessing. Every step is logged, and regular checks by us are optional.
We are opening sign-up for the customer portal shortly. Ask to be notified and you will hear from us first. Would you rather talk right away? Write to us at hallo@fesity.de.
