Examples from typical businesses
Workflows from a caterer's day
When customers provide all details themselves, the follow-up questions never arise. Automation and AI come in where that is not enough. What works for you depends on your software; we build it step by step.
Enquiry
Customers enquire via your website, with date, guest count, venue and preferred menu.
TodayEnquiries come by phone, email and contact form. Guest count, venue or budget are missing, and every detail needs a follow-up.
AfterwardsCustomers enquire via a form on your website: date, occasion, guest count, venue and preferred menu from your packages. If the date is already full, they see it at once.
Quote and order
The enquiry produces a draft quote. You check and send it, the customer accepts online.
TodayThe quote is written in a Word template, prices are copied from the last calculation. Whether the customer accepts is settled by phone.
AfterwardsThe enquiry produces a draft quote from your menu modules and prices. You check and send it, the customer accepts online, and the order is created.
Menu choice and guest count
The customer maintains guest count and menu choice up to the cut-off date. The kitchen sees the current state.
TodayThe final guest count and menu choices arrive shortly before, by email, sometimes as an Excel list. Changes easily get lost.
AfterwardsThe customer maintains guest count and menu choice in the customer portal up to a cut-off date. After that, changes go through you, and the kitchen always sees the current state.

How you can work with us
A good place to start is the path from enquiry to quote. The solution runs in your accounts. Support is available on request for a monthly fee.
Once the portal launches, you see your fixed price there before you commit. The account is free; registration is still closed.
Date, guest count, venue, budget, menu: before a catering order is settled, many emails and calls go back and forth. Then everything is typed up again for kitchen, purchasing, staff and invoice. We turn this around: your customers enquire completely online and make their own choices, and the rest follows from the order.

Six workflows from a caterer's day
We start with the cause: when customers provide all details themselves, the follow-up questions never arise. Automation and AI come in where self-service is not enough.
Allergens and special diets
Today“Two vegan, one nut allergy” is somewhere in an email. Which allergens are in the buffet is mostly known in the kitchen.
AfterwardsSpecial diets are captured in the form. Allergens follow from the recipes and appear in the quote, on the kitchen sheet and on the buffet labels.
Staff for the event
TodayFor every event, temps are asked via WhatsApp. Who confirmed and how long they worked is on slips of paper.
AfterwardsStaffing needs follow from the order. Temps confirm online themselves, and recorded hours go to payroll in order.
Invoice
TodayAfter the event the invoice is written by hand: deduct the deposit, add extra guests and extras. Business customers want the right format.
AfterwardsThe invoice is built from order, final guest count and extras, with the deposit already deducted. You approve. Business customers get an e-invoice where required.
What would you get out of it?
Some people calculate, others think about their day. Both are right.
Enquiries without ping-pongDate, guest count and wishes are already in the enquiry. You call to advise, not to ask for details.
No chaos the day beforeThe final guest count is fixed at the cut-off date. Kitchen and purchasing work from one version, not three emails.
Allergies in viewSpecial diets appear on the kitchen sheet and buffet label. Nobody has to rely on a note in the inbox.
Weekends belong to the eventQuotes and invoices are ready as drafts. The office does not wait for you until Sunday evening.

What if something has no interface?
Then we use exports or the user interface. If it does not make sense for your software, we tell you in the first call.
Privacy
Guest lists and allergies do not belong in other hands.
For weddings and company events you receive guest lists, often with notes on allergies. Such notes can be health data, which the GDPR specially protects (Art. 9). This data is not sent to AI services outside the EU. By default, a person approves anything that goes out; you decide how independently each workflow runs.
AI only with EU processingWe do not pass personal data to AI services outside the EU.
You decide how independentlyYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Only what is neededSpecial diets are recorded per seat or table. Names only when they are needed for serving.
Deleted after the eventAllergy notes and guest lists are deleted after the event. What accounting needs is kept.
A good place to start is the path from enquiry to quote. We set up the solution in your accounts; check-ins on request. You can also book advice and implement it yourself.
Implementation
We build, test with real data and hand everything over documented. Code and data belong to you.
Care on request
Everything runs in your own accounts. On request, we check in for a monthly fee.
Consulting
Assessment and concept: where things get stuck, what pays off, in which order. You implement yourself or with your IT partner.
On request, we host the solution ourselves; this is then stated in the offer.
How we work
Four steps, each with a clear result and your approval before we move on.
01
Understand
After the portal launches, describe processes or upload documents. Until then, get notified or email hallo@fesity.de.
02
Define
A written description: what gets automated, and within which limits.
03
Build & test
Implementation and testing with real data before anything goes live.
04
Care on request
Runs in your accounts, check-ins on request. We hand over the solution with documentation.
Our best reference
Proven in our own business.
We took this path first in our own spare-parts business. Different industry, same problems: enquiries, follow-ups, double entry. We currently no longer hire anyone for back-office work.
Our customers want personal advice. Does a form fit?
Yes. The form does not replace the conversation, it prepares it. You know date, guest count and wishes in advance and can focus on the menu when you talk.
Do we have to switch our software?
No. We connect what you have: via interfaces, exports or, where necessary, the user interface. Where Word and Excel are used today, we suggest the simplest next step in the first call.
Do our business customers need e-invoices?
For invoices to businesses in Germany, e-invoicing is becoming mandatory step by step: businesses must already be able to receive them, larger firms must issue them from 2027, the rest from 2028. Exceptions include invoices to private customers, small-amount invoices and businesses under the small-business VAT scheme. Your tax adviser clarifies the details.
Can we book consulting only?
Yes. We look at your workflows, find the causes and write a concept: what is worth it and in which order. You can implement it yourself or with us. Consulting is a separate engagement at a fixed price.
Does this replace our staff?
No. Cooking, delivering and hosting stay with your people. What should go away is the retyping, chasing and searching in between.
