What works for you depends on your software. We build it step by step.
Ordering lenses
Enter the values once, the order is created from them.
TodayThe refraction values are written on the job ticket and typed by hand into the lens supplier's ordering portal.
AfterwardsThe job is entered once. The order is created from it with checked values; anything unusual goes to the master optician first.
“Are my glasses ready yet?”
The customer gets a message if they want one.
TodayCustomers call, someone looks for the job bag and checks with the workshop.
AfterwardsEvery job has a status from goods-in to workshop. When the glasses are ready, the customer gets a message if they want one.
Contact-lens reorders
The system suggests, you confirm.
TodayWhen a customer needs new lenses is in their file. Whether anyone remembers in time is luck.
AfterwardsThe system knows the wearing cycle and proposes the reorder. With consent it reminds the customer; you confirm.
Three more
Health-insurance cases
TodayCost estimates and claims for insurance-covered glasses, such as children's glasses, are prepared by hand. Queries from the insurer easily get lost.
AfterwardsDocuments are compiled from the job, every case shows its status, and a query becomes a task with a deadline.
Eye-test and fitting appointments
TodayAppointments come in by phone and go into a paper diary. No-shows are only noticed once the slot is empty.
AfterwardsCustomers book free slots for the refraction room or contact-lens fitting online and receive a reminder.
Supplier invoices
TodayDelivery notes and invoices from lens and frame suppliers are matched line by line against orders.
AfterwardsInvoices are matched automatically against order and goods-in. Only discrepancies go to a person.

One interface across your whole shop
We add a technical layer over the programs you already have. Through it the systems talk to each other instead of someone retyping.

What if something has no interface?
Then we use exports or the user interface. If it does not make sense for your software, we tell you in the first call.
Privacy
Prescription values are health data.
They are not sent to AI services outside the EU. By default, a person approves anything that goes out; you decide how independently each workflow runs.
Retention periods and data processing agreement
Prescriptions are health data. That is how we treat them.
Refraction values and insurance documents are health data and fall under the special protection of the GDPR (Art. 9). They and all other customer data are not sent to AI services outside the EU. By default, a person approves anything that goes out; you decide how independently each workflow runs.
AI only with EU processingWe do not pass personal data to AI services outside the EU.
You decide how independentlyYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Clear deletion periodsEvery type of data gets a retention period, and deletion runs automatically and traceably.
Data processing agreementBefore we work with customer data, we put the processing in writing.
Our best reference
Tested in our own spare-parts business.
We currently no longer hire anyone for back-office work.
Job bag, supplier portal, insurance form, pick-up call: in an optician's shop a lot gets entered twice, once on paper and once in the system. We connect your software, suppliers and calendar into one flow and automate what repeats every day.
Six workflows from an optician's day
Every shop is different, but these workflows are typical for the trade, and each one can be improved step by step.
What would you get out of it?
Some people calculate, others think about their day. Both are right.
A calm start to the dayNo pile of job bags to work through before the first customer arrives.
Fewer phone callsCustomers get a message, if they want one, when their glasses are ready. The phone rings less often for status questions.
Nothing gets lostInsurer queries and reorders become tasks with deadlines, not notes on paper.
Closing time means closing timeOrders and matching run in the background, not in the evening after the shop closes.

How you can work with us
A good place to start is a single workflow, such as lens ordering. We set up the solution in your accounts; check-ins on request. Advice alone is also available.
Implementation
We build, test with real data and hand everything over documented. Code and data belong to you.
Care on request
Everything runs in your own accounts. On request, we check in for a monthly fee.
Consulting
Assessment and concept: where things get stuck, what pays off, in which order. You implement yourself or with your IT partner.
On request, we host the solution ourselves; this is then stated in the offer.
You see your fixed price in the portal before you commit. The account is free.
Four steps, each with a clear result and your approval before we move on.
01
Understand
You give us as much context as possible: describe your processes in the portal, upload documents. We review your information personally and prepare your preview. The more you tell us, the more precise it becomes.
02
Define
A written description: what gets automated, and within which limits.
03
Build & test
Implementation and testing with real data before anything goes live.
04
Care on request
Runs in your accounts, check-ins on request. We hand over the solution with documentation.
Proven in our own business.
We took this path first in our own spare-parts business. Different industry, same problems: orders, queries, double entry. We currently no longer hire anyone for back-office work.
Frequently asked questions
Do we have to switch our optician software?
No. We connect what you have: via interfaces, exports or, where necessary, the user interface. Your software remains the leading system.
May prescriptions and insurance data be processed automatically at all?
Yes, on a proper basis: data processing agreement, clear access rights and retention periods. AI models outside the EU do not see this data.
We are a small shop. Is it worth it?
That depends on the workflow. In a small shop especially, every hour on the phone or in a supplier portal is missing at the counter. In the first call we tell you honestly which workflow is worth it and which is not.
Does this replace our staff?
No. Advice, refraction and fitting stay with your people. What should go away is the retyping, searching and chasing in between.
