Everyone is out on a job. The request still gets through.
When nobody can answer the phone, our phone assistant Theo takes the request and reads it back for confirmation. On request, customers report faults and book maintenance appointments online themselves. We connect your existing systems. You decide what gets scheduled.
Three workflows from a plumbing and heating business.
Examples from typical businesses.
Calls during work
Theo takes the request, your office calls back in a targeted way.
TodayThe phone rings under the sink or up on the roof. Whoever cannot answer misses the call, and in the evening there is no time left for callbacks.
AfterwardsTheo takes name, address and request and reads them back. The note lands in your system, and your office calls back in a targeted way, urgent cases first.
Faults and emergency service
The report arrives complete, with photo and installation.
Today“The heating is not working.” Which installation, which error code and whether there is a maintenance contract only becomes clear on the callback, often after several attempts.
AfterwardsCustomers report faults online or by phone, with error code and photo. The report is attached to the right installation, you see the contract and decide on the job.
Maintenance contracts
Due services arrive as a proposal, not as a list.
TodayThe maintenance contracts are kept in a spreadsheet. Someone works out who is due when, and customers are called one by one.
AfterwardsDue services appear as a proposal with address and installation. Customers get a message and choose an appointment themselves; you approve the route.

Quotes after the site visit
TodayAfter the visit, notes, photos and measurements sit on the phone. The quote is written in the evening at the desk, items are copied over by hand.
AfterwardsNotes and photos from the visit land with the job. A draft quote is created from your items and prices, which you check and send.
Appointment requests
TodayCustomers ask for appointments by phone, email and message. Someone checks the calendar, confirms and enters it.
AfterwardsCustomers choose free slots for maintenance or advice that fit your planning. They get a confirmation and a reminder.
Service report and invoice
TodayThe service report is filled in on paper, the material is on the delivery note. In the office everything is typed in again before the invoice goes out.
AfterwardsThe technician records report and material once on site. This produces the record for the customer and a draft invoice; the office only checks.

Details
One layer across your whole business
We add a technical layer over the programs you already have. Through it the systems talk to each other instead of someone retyping. Your software remains the leading system.
01
Trade software
Customers, installations, jobs and maintenance contracts: the source everything else connects to.
02
Phone and inbox
Theo on the phone, plus emails and messages from customers, filed with the right job.
03
Calendar and scheduling
Free slots for maintenance and advice, technicians’ routes, reminders and cancellations.
04
Wholesalers
Item data, prices and orders through the channels your software already uses today.
05
Invoicing and accounting
Invoices and payments arrive in order at your tax adviser.
And if something has no interface?
Then we use exports or the user interface. If it does not make sense with your software, we tell you in the first call.
How you can work with us
A good place to start is a single workflow, such as the phone or maintenance contracts. We set everything up in your own accounts. Support on request for a monthly flat fee.
Once the portal launches, you see your fixed price there before you commit. The account is free; registration is still closed.
We took this path first in our own spare-parts business. Different industry, same problems: calls, queries, double entry. We currently no longer hire anyone for back-office work.
Emergency service, maintenance, quote, invoice: in a plumbing and heating business a lot gets entered twice, once on the phone or on paper and once in the office. And the phone often rings exactly when everyone is out on a job. We connect your software, phone and calendar into one flow and automate what repeats.
Six workflows from a plumbing and heating business
Examples from typical businesses. What is possible for you depends on your software; we build it step by step with you.
What would you get out of it?
Enter your own values. The calculator starts with no tasks; the minute fields are input aids, not measured industry values. The result is a calculation aid, not a promise of savings.
Calmer work on siteThe phone does not have to come out of your pocket for every call. The request still gets through.
Notes instead of unknown numbersInstead of a list of missed calls, a note with name, address and request is ready.
Maintenance without searchingDue services arrive as a proposal. Nobody has to go through spreadsheets for it.
Closing time means closing timeQuotes and invoices are created from what has already been recorded, not in the evening at the kitchen table.
Workflowper weekminutes each
Calling back after calls during work
Following up and assigning fault reports
Finding due services and arranging appointments

Example values: enter your own. The share is your assumption to try out, not a promise from us. What is realistic for you is shown by the assessment.
Privacy
Customer data stays where it belongs.
Names, addresses and photos from homes only go to AI services with processing in the EU, without training. Quotes and messages to customers are approved by a person by default.
AI only with EU processingWe do not pass personal data to AI services outside the EU.
You decide how independentlyYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Clear deletion periodsEvery type of data gets a retention period, and deletion runs automatically and traceably.
Data processing agreementBefore we work with customer data, we put the processing in writing.
By default we set everything up in your own accounts; they belong to you, we are only invited. On request we check in regularly for a monthly flat fee. You can also book advice only and implement it yourself.
Implementation
We build, test with real data and hand everything over documented. Code and data belong to you.
Care on request
Everything runs in your own accounts. On request, we check in for a monthly fee.
Consulting
Assessment and concept: where things get stuck, what pays off, in which order. You implement yourself or with your IT partner.
On request, we host the solution ourselves; this is then stated in the offer.
How we work
Four steps, each with a clear result and your approval before we move on.
01
Understand
After the portal launches, describe processes or upload documents. Until then, get notified or email hallo@fesity.de.
02
Define
A written description: what gets automated, and within which limits.
03
Build & test
Implementation and testing with real data before anything goes live.
04
Care on request
Runs in your accounts, check-ins on request. We hand over the solution with documentation.
Proven in our own business.
We took this path first in our own spare-parts business. Different industry, same problems: calls, queries, double entry. We currently no longer hire anyone for back-office work. The workflows on this page are examples from typical businesses, not a customer reference.
Frequently asked questions
Do we have to switch our trade software?
No. We connect what you have: via interfaces, exports or, where necessary, the user interface. Your software remains the leading system.
What does Theo do when a customer reports an emergency?
Theo takes the request, reads it back and only saves it after a clear yes. On request he flags urgent cases and notifies whoever you choose; what is set up is stated bindingly in your offer. The decision stays with you.
We are a small business. Is it worth it?
That depends on the workflow. In a small business especially, every hour on the phone or at the desk is missing on site. In the first call we tell you honestly which workflow is worth it and which is not.
Will we depend on you afterwards?
No. We set everything up in your own accounts. Code and data belong to you. Support is available on request for a monthly flat fee.
How do we find out the price?
For the implementation you get a fixed price per outcome. You see it in the portal before you place the order. Usage costs of third-party providers, for example for telephony or AI, you pay directly to the provider.
Does this replace our office staff?
No. Advice, planning and decisions stay with your people. What should go away is the retyping, searching and chasing in between.
