For hotels, guesthouses and holiday rental operators
More time for your guests, less time between systems.
Guests enter necessary details online before arrival, and the dining team knows who is coming. Guest self-service first, then clear rules, then automation.
Example: from booking to welcomeDetails entered in advance
GuestPrepare for arrival online
Add arrival time, breakfast and necessary details.
RuleSend details to the right people
Reception sees the arrival, the kitchen only the catering needs.
TeamCheck and welcome personally
Complete required identity checks and clarify outstanding requests.
Examples from typical businesses
From arrival to billing
This is how your workflows could look; what is possible depends on your systems. First we simplify data entry, then you set rules and approvals.
Registration details and check-in
Guests enter necessary details online in advance. This replaces neither the registration procedure nor the identity check.
TodayReception enters details again. Guests wait while staff switch between the booking and registration form.
AfterwardsGuests enter necessary details online in advance. For foreign guests, sections 29–30 BMG still apply: a pre-arrival form alone replaces neither the registration procedure nor the required identity check.
Direct bookings
Guests book directly on your website, and the booking reaches your hotel software.
TodayGuests see rooms on your website but have to call or switch to another channel to book.
AfterwardsThe booking engine on your website accesses available rooms. Guests book directly and the booking reaches your hotel software. We connect existing systems and do not sell our own PMS.
Hotel dining
Breakfast and half board pass from the booking to kitchen and service staff.
TodayBreakfast, half board and special requests are scattered across bookings and paper notes. Kitchen and service staff ask reception for details.
AfterwardsGuests add meal preferences in advance. Breakfast and half board pass from the booking to kitchen and service staff. Voluntary allergy notes are shown only to the responsible staff with the guest’s explicit consent.
What we connect
Your systems share the same booking information
Your hotel software stays. Before implementation, we check which data can flow through interfaces or exports.
Hotel software / PMS
Channel manager and booking engine
Kitchen, service and point of sale
Guest communication and approvals
Invoicing and accounting
Implementation, consulting and optional ongoing support
We set everything up in your own accounts. If you wish, we review things regularly for a monthly fee.
Once the portal launches, you see your fixed price there before you commit. The account is free; registration is still closed.
Bookings from your channels come together in one place. Guests enter necessary details online before arrival, and the dining team knows who is coming. We start with the workflow: guest self-service first, then clear rules, then automation. So reception and your team can focus on being hosts.

This is how your workflows could look. Together we check which connections your systems support. First we simplify data entry, then you set rules and approvals.
Booking channels
TodayAvailability and rates are maintained in several booking channels. Changes must be entered separately.
AfterwardsYour existing channel manager lets you maintain availability and rates centrally. Connected channels receive the same information; transfer errors are flagged so your team can help prevent double bookings.
Guest communication
TodayArrival instructions are sent individually. Upgrade offers and review requests depend on who has time.
AfterwardsArrival information goes out in the guest’s language under your rules. Upgrade offers and post-stay review requests require marketing consent. Your team can approve drafts by email or app in your own solution.
Invoicing and billing
TodayRooms, breakfast and extras are pieced together from hotel software and the till. The company address is still missing and the invoice waits.
AfterwardsGuests add billing details in advance. Rooms and extras feed into the guest account (folio), producing an invoice draft for approval. Business customers receive e-invoices where required; local visitor contributions apply only where due.
Where could your team gain time for guests?
Enter your own figures. The calculator starts with no tasks; the minute fields are input aids, not measured industry benchmarks. The result is a calculation aid, not a savings promise.

We connect your existing hotel software to booking channels, website and point of sale. Before implementation, we check which data can flow through interfaces or exports.
01
Hotel software / PMS
Bookings, stays and guest accounts provide the common starting point.
02
Channel manager and booking engine
Synchronise availability, rates and direct bookings across website, channels and hotel software.
03
Kitchen, service and point of sale
Share meal requirements from bookings and pass recorded services on for billing.
04
Guest communication and approvals
Define templates, language and sending rules. Exceptions and approvals stay in your own solution.
05
Invoicing and accounting
Pass billing details, payments and e-invoices to your accounting team in an organised way.
What if an interface is missing?
We check exports or the user interface. We discuss anything unreliable or impractical before you commission the work.
Guest data
Only the details each workflow needs.
Personal guest data is not sent to AI services outside the EU. Allergy notes may be health data (Article 9 GDPR): we plan explicit consent and restricted access for them.
AI only with EU processingWe do not pass personal data to AI services outside the EU.
You decide how independentlyYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Access by taskKitchen and service staff see necessary meal requirements, not identity documents or full booking details.
Deletion by purpose and retention periodRegistration data, invoices and voluntary preferences get separate deletion rules based on the applicable requirements.
By default, we set everything up in your own accounts. You own the accounts; we are only invited in. If you wish, we review things regularly for a monthly fee. Or we advise on your workflows and you implement them yourself.
Implementation
We build, test with real data and hand everything over documented. Code and data belong to you.
Care on request
Everything runs in your own accounts. On request, we check in for a monthly fee.
Consulting
Assessment and concept: where things get stuck, what pays off, in which order. You implement yourself or with your IT partner.
On request, we host the solution ourselves; this is then stated in the offer.
How we work
Four steps, each with a clear result and your approval before we move on.
01
Understand
After the portal launches, describe processes or upload documents. Until then, get notified or email hallo@fesity.de.
02
Define
A written description: what gets automated, and within which limits.
03
Build & test
Implementation and testing with real data before anything goes live.
04
Care on request
Runs in your accounts, check-ins on request. We hand over the solution with documentation.
Our best reference
Experience from our own business.
We have digitised and connected workflows in our own spare-parts business. We know duplicate entry and follow-up questions from our own work. The examples on this page describe possible hotel workflows, not a hotel client reference.
No. We connect to your existing systems and check their interfaces and exports beforehand. We do not sell our own PMS. If a connection is not practical, we explain the limitation before implementation.
Do German guests still need a registration form?
Since 2025, the Fourth Bureaucracy Relief Act has removed the special hotel registration requirement for German nationals. Sections 29–30 BMG continue to apply to foreign guests. Other obligations, such as those for long stays or local visitor contributions, need separate checks.
Is an online form enough for digital registration?
No. Collecting details in advance differs from fulfilling the registration duty electronically. Section 29(5) BMG requires consent, confirmation on the arrival date and a specified or approved procedure. Section 30 BMG adds further requirements. We handle technical implementation; legal review belongs with qualified advisers.
What about guest data and privacy?
We plan only necessary data, AI processing in the EU and access by task. Allergy notes are collected voluntarily with explicit consent. Registration data and invoices have their own retention duties; voluntary preferences are deleted once their purpose ends.
How do company invoices and visitor contributions fit together?
The invoice comes from the guest account. Domestic B2B transactions are subject to e-invoicing rules with transitional periods and exceptions, such as small-amount invoices. Local visitor contributions follow the applicable rules. Your tax adviser clarifies the treatment; we implement the approved requirements.
What stays with our team?
Hosting, exceptions and decisions. You decide which workflows run automatically and where you approve drafts by email or app. The portal is for working with us and tracking project progress; operational approvals stay in your own solution.
