For online retailers

One product, one record, every channel. No double entry.

Workflows from online retail

What customers can look up themselves needs no email reply. What works for you depends on your software; we build it step by step.

New products

You maintain the product once and approve it; then it is online everywhere.

TodayA product is created in the shop and then adapted by hand for each marketplace: different titles, attributes and categories. Manufacturer details and warnings are missing here and there.

AfterwardsYou maintain the product once. A suitable draft is created for each channel and the mandatory details are checked. You approve, and it is online everywhere.

“Where is my order?”

Customers see the tracking status themselves, in the shipping email and their account.

TodayMany customer messages ask about the parcel. Someone looks up the order, copies the tracking number and replies by hand, separately for shop and each marketplace.

AfterwardsCustomers see the tracking status themselves, in the shipping email and their account. Anyone who still writes lands in a shared inbox with a ready draft reply. A person checks and sends it.

Withdrawal and returns

Customers register the return themselves and get the label at once. A person decides on refunds.

TodayAnyone who wants to send something back first writes an email and waits for a label. The goods arrive, sometimes with a note, sometimes without, and the reason stays unclear.

AfterwardsCustomers register the return themselves, with reason and photo, and get the label at once. Goods-in has a checklist. Refunds and goodwill are decided by a person.

How you can work with us

A good place to start is product data or customer service. The solution runs in your accounts.

Once the portal launches, you see your fixed price there before you commit. The account is free; registration is still closed.

A new product has to go into the online shop and onto every marketplace, each with its own fields. Stock levels drift apart, customer messages arrive in several inboxes, and marketplace payouts rarely match the books. We connect shop, marketplaces and inventory system into one set of data. Customers do more themselves, and you approve what goes out.

Six workflows from everyday online retail

We start with the cause: what customers can look up themselves needs no email reply. What is maintained once needs no typing in three times. Automation and AI come in where self-service is not enough.

Stock and prices

TodayThe last item sells in the shop and on a marketplace at the same time. Prices are changed channel by channel, and nobody is quite sure which version applies.

AfterwardsStock and prices come from one source and go to every channel. If a purchase price is missing or a product is running out, you see it before a customer orders.

Purchasing

TodayReordering happens when the shelf looks empty or the supplier calls. Slow sellers tie up money, popular items are sold out.

AfterwardsSales and lead times produce order proposals per supplier. You see what is running low and what sits too long, and order after checking.

Payouts and accounting

TodayEach marketplace pays out in bulk, minus fees and refunds. Which orders are behind it is matched by hand for the tax adviser.

AfterwardsPayouts are matched with orders, fees and refunds. Your tax adviser gets the data in order, and business customers get an e-invoice where required.

What would you get out of it?

Some people calculate, others think about their day. Both are right.

One product, one placeYou change a price or description once. Shop and marketplaces follow.
Customers help themselvesCustomers handle tracking and returns without an email. The inbox holds what really needs a reply.
Stock in viewStock and prices are the same on every channel, even when nobody is in the office.
Calmer month-endMarketplace payouts are matched to orders before the tax adviser asks.
What we connect

One interface for shop, marketplaces and warehouse

We do not replace your online shop or inventory system, we connect them. On top we add a technical layer: a product, an order or a customer message is entered once and used everywhere.

01

Online shop and marketplaces

Product data per channel, mandatory details, stock, prices and orders from every channel in one place.

02

Inventory and warehouse

Product master data, bin locations, picking and shipping. Your inventory system stays the source.

03

Customer service

One inbox for shop and marketplaces, self-service tracking and returns, draft replies for approval.

04

Purchasing and suppliers

Sales history, lead times and minimum quantities, order proposals per supplier, supplier portals and price lists.

05

Payments and accounting

Marketplace payouts, fees, refunds, e-invoices and receipts, organised for your tax adviser.

What if something has no interface?

Then we use exports or the user interface. If it does not make sense for your software, we tell you in the first call.

Privacy

Customer data stays where it belongs.

Orders, addresses and customer messages are personal data. They are not sent to AI services outside the EU. By default, a person approves anything that goes out. Refunds and goodwill are always decided by a person. The GDPR allows purely automated decisions with legal effect only in narrow exceptions (Art. 22).

AI only with EU processingWe do not pass personal data to AI services outside the EU.
You decide how independentlyYou set one of four autonomy levels for each process and can change it at any time. Our default is level 2: “Software does it, a person approves”. At level 4, software decides according to your rules. The level also applies to money, contracts and customer contact. Your solution checks it before every action and logs what happens. You handle approvals directly in your solution, for example by email, Teams or app.
Only what is neededA draft reply needs the order and tracking status, not the whole customer account.
A person decidesRefunds, credit notes and goodwill are proposed, but never carried out automatically.

A good place to start is product data or customer service. We set up the solution in your accounts; check-ins on request. You can also book advice and implement it yourself.

Implementation

We build, test with real data and hand everything over documented. Code and data belong to you.

Care on request

Everything runs in your own accounts. On request, we check in for a monthly fee.

Consulting

Assessment and concept: where things get stuck, what pays off, in which order. You implement yourself or with your IT partner.

On request, we host the solution ourselves; this is then stated in the offer.

How we work

Four steps, each with a clear result and your approval before we move on.

  1. 01

    Understand

After the portal launches, describe processes or upload documents. Until then, get notified or email hallo@fesity.de.

  2. 02

    Define

A written description: what gets automated, and within which limits.

  3. 03

    Build & test

Implementation and testing with real data before anything goes live.

  4. 04

    Care on request

Runs in your accounts, check-ins on request. We hand over the solution with documentation.

We sell spare parts ourselves through our own online shop and a marketplace. There, several separate tools became one system of our own with an interface: warehouse, product data, customer service and purchasing work with the same data. Replies to customers are approved by a person. We currently no longer hire anyone for back-office work.

Frequently asked questions

Do we have to switch shop or inventory system?

No. We connect what you have: via interfaces, exports or, where necessary, the user interface. Your inventory system stays the source for products and stock.

Will an AI answer our customers?

First we make sure customers can find a lot themselves: tracking, returns, invoices. Where they still write, a draft reply is created with the order and shipping data. A person checks and sends it. Refunds and goodwill are always decided by a person.

What about the withdrawal function and product safety details?

Online shops in Germany need a withdrawal function for consumers (§ 356a BGB). Distance-selling offers must show manufacturer details, information identifying the product (such as a picture and type) and warnings, and, for manufacturers outside the EU, a responsible person in the EU (Art. 19 GPSR). You maintain these details once for all channels. Whether your offers are legally sound is for your legal adviser.

Do our business customers need e-invoices?

For invoices to businesses in Germany, e-invoicing is becoming mandatory step by step: businesses must already be able to receive them, larger firms must issue them from 2027, the rest from 2028. Exceptions include invoices to private customers, small-amount invoices and businesses under the small-business VAT scheme. Your tax adviser clarifies the details.

Does this replace our staff?

No. Advising, packing, buying and deciding stay with your people. What should go away is the retyping, looking up and searching in between.
